The Wedding Day-Of Timeline Builder

Why a blank timeline template leaves you doing the math
Most timelines hand you a blank table and wish you luck.
A blank table makes you do the back-math
If the ceremony is at 4:00, hair and makeup has to start at... 10:55? You sit there working backwards by hand — and redo the whole thing the moment the ceremony time shifts.
Free templates don't move with your first-look decision
Choose a first look and the portraits move before the ceremony, so everything shifts again. A static template makes you re-draw the whole afternoon yourself.
Vendors get a vague window, not a real arrival time
"Sometime in the afternoon" is how photographers end up late. A blank table won't derive each vendor's exact arrival time from your day.
What this builder does that a blank table can't
Type one time. The whole day builds itself.
01
Ceremony-Time Auto-Build
Type your ceremony time — say 4:00 PM — and the builder back-calculates everything before it (hair & makeup, getting dressed, detail photos, buffer, guest arrival) and forward-calculates everything after (cocktail hour, entrance, dinner, toasts, first dance, dancing, send-off). The ceremony is the anchor; the whole day hangs off it. Nudge any block's minutes and the timeline re-flows. A blank table makes you hold all that math in your head. We hold it for you.
02
The First-Look Toggle
One switch decides where your couple and wedding-party portraits land. Choose Yes and the portrait block moves before the ceremony — first look at 2:10 PM, everyone calm and photographed before guests arrive. Choose No and the same block slides to cocktail hour while guests mingle. The rest of the day re-times automatically either way. The one decision every couple wrestles with, in a single click.
03
Auto Vendor-Arrival Sheet + 3 Share Views
The builder derives a vendor-arrival sheet from your timeline: each vendor's arrival time is their first scheduled block minus a lead time you control. Then three share-ready views come out of the same numbers — a couple master (full hour-by-hour plan), a vendor view (who arrives when), and a guest view (the five moments guests care about). One source of truth, three audiences, zero double-entry.

Mobile is the phone-first day-of view with a tick box per block. Notes keeps vendor numbers and the version log.

Questions before you download
A few things people ask first.
How does the auto-build actually work?
You enter one number on the Setup tab — your ceremony start time — and choose your first look (Yes or No). From that, the Timeline tab calculates every block: it back-times everything before the ceremony (hair & makeup, getting dressed, detail photos, buffer, guest arrival) and forward-times everything after (cocktail hour, entrance, dinner, toasts, dancing, send-off). The ceremony row is your anchor, highlighted in gold. Change the ceremony time and the entire day re-times instantly.
What does the first-look toggle change?
It decides where your couple and wedding-party portraits land. Set it to Yes and the portrait block moves before the ceremony — you do the first look and most photos while everyone's fresh, before guests arrive. Set it to No and that same block slides to cocktail hour, so portraits happen while guests are mingling. The rest of the day re-times either way. It's one dropdown, not a manual re-draw.
Can I change the block lengths? My ceremony isn't 30 minutes.
Yes — every block length is editable. The defaults (hair & makeup 120 min, ceremony 30 min, dinner 75 min, dancing 120 min, and so on) are starting points, not rules. Type your real numbers into the Duration column and the timeline re-flows around them. You can also adjust each vendor's arrival lead time on the Setup tab.
How does the vendor-arrival sheet get built?
Automatically, from your timeline. The Vendor Arrivals tab finds each vendor's first scheduled block, then subtracts the lead time you set on the Setup tab. So if your photographer's first block (detail photos) starts at 1:40 PM and you've given them a 0-minute lead, they arrive at 1:40; give the caterer a 60-minute lead before dinner and the sheet shows their arrival accordingly. You hand each vendor a single, exact time instead of a vague window.
What are the three views, and who are they for?
All three come from the same numbers, so they never disagree. The couple master (Timeline tab) is your full hour-by-hour plan. The vendor view (Vendor Arrivals tab) is who arrives when — share it with your team. The guest view (Guest Version tab) is the clean five-line public version (Guests arrive · Ceremony · Cocktail hour · Dinner & reception · Send-off) you can print in your program without exposing the getting-ready details.
Do I need Google Sheets, or will Excel work?
Either. You get a make-a-copy Google Sheets link (free, works in any browser, nothing to install) and an .xlsx file that opens in Excel, Numbers, or LibreOffice. The auto-build formulas work in both. Time is handled with locale-safe formulas, so the timeline reads correctly whether your system is set to US, UK, or another region.
Will the file work on my phone?
Yes. The Mobile tab is built phone-first — a clean Time / Block / Owner layout with a tick box for every block, so on the day itself you're glancing and checking things off, not flipping through a full spreadsheet. There's also a 3-up summary at the top: Ceremony time, First look, and your estimated end time.
Is the printable timeline editable?
The Bonus Printable PDF is a fixed, beautifully set layout — the canonical 4:00 PM-ceremony, first-look example — meant for pinning in the getting-ready room or handing to your wedding party. For your own custom times, build your day in the spreadsheet and print the Timeline tab directly; the PDF is the polished, ready-made companion, not a fill-in form.
Will my planning details stay private?
Yes. The .xlsx and PDFs download directly to your device. If you use the Google Sheets copy, it lives in your own Google Drive — nothing is synced to ifshe, nothing is emailed back to us, nothing is analyzed. Your ceremony time, vendor names, and notes stay with you.
I already have your Wedding Budget Tracker. Is this different enough to add?
Yes — completely different job. The Budget Tracker is for the money, months out. This Timeline Builder is for the choreography of the single day: what time everything happens and who needs to be where. Most couples use the Budget Tracker 8-18 months ahead and reach for the Timeline Builder in the final 6-8 weeks, when the ceremony time is locked and vendors need their arrival times.
Is there a free version?
Yes. We offer a free Lite timeline — a single, ready-made 4:00 PM-ceremony day you can copy and print, with a quick-start guide. It's the easiest way to see the layout and decide if the full Builder (your own ceremony time, the first-look toggle, the vendor sheet, and the three share views) is worth it. Look for the free Lite download on the page or in our wedding tools.
Can I get a refund?
Because this is a digital product delivered immediately, all sales are final. Read the description and check the screenshots carefully — reach out at cs@ifshe.com if you have questions before purchasing.
Will there be updates?
Yes. Free updates if we improve the builder (we'll email you). Beck reads customer feedback and the tool grows from real use.

A note from the studio
Why we made this.
Hi, I'm Beck — I run IfShe, a small jewelry studio designing wedding and personalized pieces for couples across the US and UK.
Most of what we make is jewelry. But every so often we run into the same gap our brides are stuck inside — a part of wedding planning that no tool seems to do well for the modern couple. So we sit down with a few of those brides and build the thing we wished they'd had a year earlier.
This is one of those builds. Made carefully, in the same studio voice as the jewelry, so that everything you get from us reads like one cohesive whole — from the engagement ring through to the planning tools you'll actually use the week before the wedding.
I hope it gives you a calmer head-space for everything else.
— Beck, IfShe Wedding Studio
